1. Overview
This Data Retention and Protection Policy explains how we handle, protect, and dispose of information processed through our Zoom app.
The app allows an authorised Zoom user to sign in with Zoom, view meetings and webinars available to their account, locate connected polls, export selected poll content to a text file, and upload a text file into another authorised Zoom account to recreate poll content.
The app is designed to operate without storing Zoom meeting, webinar, poll, or user data on our servers.
2. Data Retention Principle
Our core data retention principle is:
We do not retain Zoom meeting, webinar, or poll data after the user’s active session or requested action is complete.
The app only accesses Zoom data temporarily to display it to the authorised user and perform the export or import action requested by that user.
We do not maintain a database of Zoom poll data, meeting data, webinar data, uploaded files, or exported files.
3. Zoom Data Accessed Temporarily
During use, the app may temporarily access:
Zoom meetings available to the authorised account
Zoom webinars available to the authorised account
Polls connected to selected meetings or webinars
Poll questions, answer options, and poll structure
Temporary authentication/session information required to use the app
This information is displayed on screen only so the user can choose what to export or import.
4. Zoom Data Not Retained
We do not retain:
Zoom meeting data
Zoom webinar data
Zoom poll data
Poll questions or answers
Exported poll text files
Uploaded poll text files
Zoom recordings
Zoom chat history
Zoom participant reports
Zoom contacts
Zoom transcripts
User profile data beyond what is technically required for authentication
We do not store this data in a database, file system, CRM, analytics platform, or third-party service.
5. Exported Files
When a user exports poll content, the app generates a text file for download.
This file is created for the user and is controlled by the user after download.
We do not retain a copy of the exported text file on our servers.
The user is responsible for storing, protecting, sharing, and deleting the exported file after it has been downloaded.
6. Uploaded Files
When a user uploads a text file to import poll content into another Zoom account, the file is processed only for the purpose of recreating the selected poll content.
Uploaded files are not retained after processing.
We do not store uploaded poll files for backup, review, analytics, troubleshooting, or future reuse.
7. Authentication Tokens
The app uses Zoom authentication to allow the authorised user to connect their Zoom account.
Zoom access tokens are temporary and are used only to perform actions requested by the user during their active session.
Tokens expire after 60 minutes of inactivity.
We do not permanently store Zoom access tokens.
We do not use tokens to access Zoom data outside the user’s active session or requested actions.
8. Temporary Session Data
The app may use temporary session data to keep the user signed in and allow the app to operate during active use.
Temporary session data may include information needed to maintain the user’s authenticated session and support the requested export or import workflow.
Session data is not used for profiling, marketing, resale, or unrelated analysis.
Session data expires when the session ends, the user logs out, or the session becomes inactive.
9. Server Logs
Although we do not retain Zoom meeting, webinar, or poll data, our server may create limited technical logs as part of normal web application operation.
These logs may include:
IP address
Date and time of access
Requested URL or endpoint
Browser or device information
Error messages
Security events
Server performance information
Server logs are used only for:
Security monitoring
Troubleshooting
Abuse prevention
Application maintenance
Investigating errors or unauthorised access attempts
Server logs are not used to analyse Zoom poll content, profile users, or market to users.
Server logs are retained only for as long as reasonably necessary for security, diagnostics, and operational purposes, then deleted or overwritten according to our server maintenance processes.
10. Data Protection Measures
We apply appropriate technical and organisational measures to protect the app and the temporary data it processes.
These measures include:
Zoom authentication
Temporary access tokens
Encrypted connections where applicable
Secure server configuration
Restricted administrative access
Session expiry controls
Server monitoring and maintenance
Regular security reviews

11. No Sale or Sharing of Data

The app accesses Zoom data only to provide the function requested by the authorised user.
12. Data Deletion
Because the app does not retain Zoom meeting, webinar, or poll data, there is normally no stored Zoom data for us to delete.
Where temporary session data or uploaded content exists during active processing, it is deleted, cleared, or made unavailable after the session or process is complete.
Where server logs exist, they are deleted or overwritten according to normal server maintenance and security processes.
13. Backups
We do not back up Zoom meeting, webinar, poll, uploaded file, or exported file content because this data is not retained by the app.
Server-level backups, where used, are intended to protect application code, configuration, and operational infrastructure.
They are not intended to store user poll content or Zoom account data.
14. Incident Response
If we become aware of a security issue that may affect the app, authentication process, temporary data, or server environment, we will investigate promptly.
Where appropriate, we may:
Fix the vulnerability
Revoke or invalidate affected sessions
Review relevant server logs
Notify affected users
Notify Zoom where required
Update security procedures

15. User Responsibility
Users are responsible for exported files after download.
Users should:
Store exported poll files securely
Share exported files only with authorised people
Delete exported files when no longer needed
Avoid uploading files from unknown or untrusted sources
Review poll content before importing it into another Zoom account

We may update this Data Retention and Protection Policy from time to time to reflect changes in the app, hosting environment, Zoom platform requirements, security practices, or legal obligations.
