1. Overview

This Privacy Policy explains how we handle information when you use our Zoom app.

The app allows an authorised Zoom user to sign in with their Zoom account, list meetings and webinars available to that account, find connected polls, export selected poll content to a text file, and upload that text file into another authorised Zoom account to recreate poll content.

The app is designed to perform this function without storing Zoom meeting, webinar, poll, or user data on our servers.

2. Who This Policy Applies To

This policy applies to users who access the app using Zoom authentication.

It applies when you:

  • Sign in to the app using Zoom

  • View meetings or webinars available to your Zoom account

  • View poll content connected to selected meetings or webinars

  • Export selected poll content to a text file

  • Upload a poll text file for import into another Zoom account

3. Information We Access from Zoom

The app only requests access to the Zoom information needed to provide its poll export and import functionality.

Depending on the permissions approved by you or your Zoom account administrator, this may include:

  • A list of meetings available to the authorised Zoom account

  • A list of webinars available to the authorised Zoom account

  • Polls connected to selected meetings or webinars

  • Poll questions, answer options, and related poll structure

  • Basic account/session information required by Zoom authentication

We do not request access to unnecessary Zoom information.

We do not request access to Zoom recordings, chat history, contacts, participant reports, transcripts, or other unrelated Zoom account content unless the app is later extended and the user is clearly asked to approve additional permissions.

Zoom’s Marketplace review process expects developers to declare the Zoom data their app needs, and Zoom validates the reason for accessing that data before publication. (Zoom)

4. Personal Information

The app is not designed to collect personal information from Zoom.

However, meeting names, webinar names, poll questions, or poll answers may contain personal information if the user or account owner has added that information inside Zoom.

For example, a poll question or answer option could include a person’s name, company name, email address, or other identifying information if that was entered by the Zoom user.

The app does not analyse, profile, sell, or share this information. It is displayed only so the authorised user can select and export or import poll content.

5. How We Use the Information

We use the information accessed from Zoom only to provide the app’s core functions:

  • To authenticate your Zoom session

  • To display meetings and webinars available to your authorised Zoom account

  • To locate polls connected to selected meetings or webinars

  • To allow you to export selected poll content to a text file

  • To allow you to upload a text file and recreate poll content in another authorised Zoom account

  • To maintain the security and operation of the app

We do not use Zoom data for marketing, advertising, profiling, analytics, resale, or unrelated business purposes.

6. Authentication and Zoom Tokens

The app uses Zoom authentication to allow you to connect your Zoom account securely.

When you sign in, Zoom provides a temporary access token. This token is used only to carry out the actions you request during your active session.

Tokens expire after 60 minutes of inactivity.

We do not permanently store Zoom access tokens.

We do not use Zoom tokens to access your Zoom account outside the actions you request while using the app.

7. Data Storage

We do not store Zoom meeting, webinar, or poll data on our servers.

We do not maintain a database of exported poll content.

We do not record, retain, analyse, sell, or share poll data retrieved from Zoom.

When you export poll content, the app creates a text file for you to download. Once downloaded, that file is under your control.

When you upload a text file for import, the app processes the uploaded content only for the purpose of creating or recreating poll content in the authorised Zoom account. Uploaded files are not retained after processing.

8. Server Logs and Technical Information

Like most web applications, our server may process limited technical information needed to operate and protect the app.

This may include:

  • IP address

  • Browser type

  • Time and date of access

  • Requested URL or endpoint

  • Error logs

  • Security-related event information

This information is used only for security, troubleshooting, maintenance, and protection of the service.

We do not use server logs to profile users or analyse Zoom poll content.

9. Cookies and Session Data

The app may use essential cookies or session storage where necessary to keep you signed in during your active session and to operate the app securely.

These cookies or session records are used only for authentication, security, and app functionality. When they expire after 60 minutes, or if you logout, they are of no use to anyone.

We do not use non-essential cookies for advertising or behavioural tracking within this app.

10. Legal Basis for Processing

Where data protection law applies, we process limited information on the following bases:

  • Contract / requested service: to provide the app functionality requested by the user

  • Legitimate interests: to operate, secure, maintain, and improve the technical reliability of the app

  • Legal obligation: where we are required to retain or disclose limited information by law

We do not rely on personal data from Zoom for advertising or profiling.

11. Data Sharing

We do not sell, rent, trade, or share Zoom data with third parties.

We do not provide Zoom meeting, webinar, or poll data to advertisers, analytics providers, data brokers, or marketing platforms.

We may disclose limited information only where necessary:

  • To comply with a legal obligation

  • To respond to lawful requests from authorities

  • To protect the security, rights, or integrity of the app

  • To investigate abuse, fraud, or unauthorised access

12. Data Retention

Zoom meeting, webinar, and poll data accessed through the app is not retained on our servers.

Uploaded poll text files are processed for the import action and are not retained after processing.

Temporary session information and tokens expire after inactivity or logout.

Server logs may be retained for a limited period for security and troubleshooting purposes. Where no longer required, they are deleted or overwritten according to our server maintenance processes.

13. Security

We use appropriate technical and organisational measures to protect the app and its server environment.

These measures include:

  • Secure authentication through Zoom

  • Temporary access tokens

  • Restricted administrative access

  • Secure server configuration

  • Encrypted connections where applicable

  • Monitoring and maintenance of the server environment

  • Regular quarterly penetration testing

We also review the application for security issues and take corrective action where required.

14. User-Controlled Export Files

When you export poll content, the app generates a text file for you to download.

You are responsible for how that file is stored, protected, shared, and uploaded.

You should only share exported poll files with people or accounts authorised to receive that poll content.

You should not upload files from unknown or untrusted sources.

15. Your Rights

Depending on where you are located, you may have rights over your personal information.

These may include the right to:

  • Ask what personal information is being processed

  • Request access to personal information

  • Request correction of inaccurate information

  • Request deletion of personal information

  • Object to or restrict certain processing

  • Request a copy of your information

  • Complain to a data protection authority

The ICO’s UK GDPR guidance says privacy notices should explain the rights available to individuals, including access, rectification, erasure, restriction, objection, and data portability. (ICO)

Because the app does not store Zoom poll, meeting, or webinar data on our servers, we may not hold the information you are asking about. However, you can contact us and we will respond as appropriate.

16. Children

This app is intended for business and professional use.

It is not intended for children, and we do not knowingly collect information from children.

17. International Use

The app may be accessed by users in different countries.

Where privacy or data protection laws apply, we will handle information in accordance with applicable legal requirements.

18. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to the app, Zoom platform requirements, legal obligations, or security practices.

The latest version will be made available on our website, app support page, or Zoom Marketplace listing.
